What Are Workflows?
Workflows are automated sequences that trigger when something happens — like a missed session or a new client signup. You define the logic once, and NexusGyms runs it for you.
Common Use Cases
- New client welcome flow
- Payment reminder 24h after due
- No-show follow-up after missed session
- Re-engagement message after 30 days inactivity
- Upsell flow for long-term clients
How to Create a Workflow
- Go to the Workflows tab
- Click New Workflow
- Choose a Trigger:
- “Client Added”
- “Session Missed”
- “No activity for X days”
- “Payment not received”
- “Client Added”
- Choose an Action:
- Send message
- Add tag
- Notify you
- Send message
- Save and activate the workflow
Best Practices for Workflow Design
- Don’t overcomplicate — 1–2 steps is often enough
- Use message templates to stay consistent
- Add delays (e.g. 24h) to avoid spammy timing
- Review workflows monthly to optimize performance
How to Test Workflows
Use a test client to simulate actions. You’ll see the workflow history under their profile to verify each step was triggered as expected.
